Responsibilities

Position Summary

The Travel Coordinator is responsible for managing and facilitating all travel arrangements for candidates, new hires, and employees, ensuring a seamless and professional experience. This role supports recruiting and onboarding processes by coordinating travel logistics for interviews, training classes, and special events, while also serving as a resource for flight benefits and related travel programs.

Job Responsibilities

  • Schedule and confirm travel and accommodations for candidates, new hires, and employees for interviews, pre-hire training, new hire classes, and company events.
  • Respond promptly and professionally to travel inquiries from candidates, employees, and leadership.
  • Coordinate lodging and transportation details; rental cars, hotels, flights, etc. and send confirmation notices for travel and accommodations.
  • Maintain and update travel-related resources on internal portals.
  • Provide guidance on flight benefits and assist employees transitioning to retiree travel programs.
  • Develop and maintain work instructions and user guides for travel processes.
  • Train team members on travel booking systems and procedures.
  • Collaborate with Recruiting and HR teams to ensure timely communication and accurate travel arrangements.
  • Research and resolve travel-related issues or disruptions.
  • Participate in new hire orientations, as needed, to increase the knowledge and awareness of travel benefits programs for new team members.
  • Act as liaison, as needed, between PSA Airlines leadership team and American Airlines travel group.
  • Actively assist team members through the process of transitioning to retiree travel benefits.
  • Work with other Travel Coordinators to update and maintain the Travel Page on the PSA Airlines team member portal in conjunction with the Communications team.
  • Perform other travel-related duties as assigned.
  • Responsible for the Company's Security and Safety Management System (SMS) and associated Safety Risk Management and Safety Assurance outputs.
  • Performs other duties as assigned.

Position Specifics

Qualifications

Required

  • High school diploma or equivalent.
  • 2-3 years of administrative support in an Office environment with exposure to ATS, HRIS and Travel software.
  • Proven experience in utilizing Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • High attention to detail and confidentiality.
  • Customer-centric approach with problem-solving skills.
  • Ability to speak/read/write in English. 
  • If hired, must be able to demonstrate that you are authorized to work in the U.S.

Preferred

  • Working knowledge of booking travel and accommodations.
  • Experience with iCIMS.
  • Experience with Workday.
  • Experience with Sabre.

Additional Information

Work Environment: This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, telephones, photocopiers, facsimile machines and filing cabinets.
Physical Demands: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk or hear. This is largely a sedentary role; however, the employee is frequently required to stand; walk; climb up and down stairs; lift weight up to 25 lbs; use hands to handle or feel; and reach with hands and arms.
Security Clearance: All employees are required to pass the fingerprint-based criminal history records check (CHRC) per 49CFR1542.209 as well as a pre-employment drug screen.
