Responsibilities

Position Summary

The Human Resources Information System (HRIS) Coordinator will report to the Assistant Director of HRIS and is responsible for providing new hire onboarding support as well as HRIS related functions. This will include all onboarding steps starting with the applicant tracking system, move to HR system, and continue through to new hire onboarding task completion. The Human Resources Information System (HRIS) Coordinator will provide support to all departments across the organization. The successful candidate will be responsible for communicating needs proactively with their Leader and other department Leaders.  

Job Responsibilities

  • Coordinate with recruiting the initiation of Onboarding process for new hires.
  • Process the HRIS Onboarding and follow up with new hires through to completion.
  • Coordinate new hire communication and documentation.
  • Manage Day 1 connection with new hire and leader to complete I-9 verification and completion of HRIS Onboarding tasks.
  • Administration of I-9’s in E-Verify and processing of I-9’s in New Hire Reporting.
  • In coordination with IT, work with new hires and assist with any login details and system access.
  • Perform customer service functions by answering employee requests and questions or directing them to the appropriate department/organization.
  • Lead HRIS work instruction tracking, updating and maintenance.
  • Help to resolve employee questions and discrepancies in HR system and notifying leaders of errors and needed updates.
  • Work with HR leaders to resolve issues with employee information in HR system and new hire questions.
  • Process hires, terminations, job changes and other HR data changes as requested in HR system.
  • Maintain and process hire and termination reports and send to distribution lists.
  • Assist HRIS Specialist with reports based on business needs.
  • Responsible for the Company's Security and Safety Management System (SMS) and associated Safety Risk Management and Safety Assurance outputs.
  • Performs other duties as assigned.

Position Specifics

Qualifications

Required

  • High School Diploma or equivalent.
  • At least 2 years' experience in Human Resources (any area).
  • Experience with Human Resources system (HRIS) and/or Applicant Tracking System (ATS) support.
  • Intermediate to advanced skills with Microsoft Office programs, including Excel.
  • Ability to collect, interpret, and analyze employee data.
  • Proven track record of maintaining high levels of confidentiality.
  • Working knowledge of employment and record keeping laws related to HRIS.
  • Experience with I-9 documentation and processing.
  •  Exposure to or experience with privacy policies as applied to employee data.
  • Ability to speak/read/write in English.
  • If hired, must be able to demonstrate that you are authorized to work in the U.S.   

Preferred

  • Workday HRIS experience.
  • iCIMS Applicant Tracking experience. 

Additional Information

Delegation: In absence, responsibilities delegated to Assistant Director of HRIS.

Authorities: None

Supervisory Responsibility: This is not a supervisory position.

Work Environment: This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, telephones, photocopiers, facsimile machines and filing cabinets.

While performing the duties of this job, the employee is regularly required to talk or hear. This is largely a sedentary role; however, the employee is frequently required to stand; walk; climb up and down stairs; lift weight up to 25 lbs; use hands to handle or feel; and reach with hands and arms.
Security Clearance: All employees are required to pass the fingerprint-based criminal history records check (CHRC) per 49CFR1542.209 as well as a pre-employment drug screen.
