Responsibilities

Position Summary

 

The Benefits Coordinator is responsible for assisting with the administration of all benefits and retirement programs, including medical, dental, vision, life insurance, short- and long-term disability, flexible spending accounts, health savings accounts, Employee Assistance (EAP), 401(k) and COBRA. 

 

Job Responsibilities 

  • Advise employees on eligibility, plan design and enrollment processes.
  • Respond to benefits inquiries in a professional and timely manner, providing information and assistance to employees and leadership as needed.
  • Perform group benefit plan administration tasks including processing new hire and life event changes, dependent verifications and maintain HRIS system.
  • Perform audits of enrollment and coverage using reports from HRIS system and from benefit vendor websites.
  • Perform payroll audits of benefit deductions for each pay cycle and coordinate with payroll team to prevent errors.
  • Manage benefit eligibility and collection of premiums for team members out on a leave of absence.
  • Owner of HRIS system benefit event debugging and testing.
  • Serve as liaison to employees and insurance carriers regarding employee benefit enrollment discrepancies and escalated claims issues.
  • Lead new hire benefits communications including regulatory notices, new hire information packets and enrollment notices, dependent verifications, and enrollment reminders.
  • Responsible for benefit enrollment verifications and claims requests from the Center for Medicare Services (CMS).
  • Ensures timely and accurate compliance reporting to CMS agencies.
  • Administrator of court ordered medical support notices.
  • Assist with annual open enrollment including attending education sessions, drafting communications, and troubleshooting enrollment problems for team members.
  • Collaborate with other departments to development of employee communications and presentations.
  • Conduct benefits education presentations, as needed.
  • Provide ideas and incorporate changes with the wellness program initiatives.
  • Cross-train and serve as backup to other benefit functions as directed by department management.
  • Responsible for the Company's Security and Safety Management System (SMS) and associated Safety Risk Management and Safety Assurance outputs.
  • Performs other duties as assigned.

Position Specifics

Qualifications


Required

  • High School Diploma or equivalent.
  • At least 2 years of experience in a business office, utilizing Microsoft Office programs.
  • Knowledge of FMLA, ADA, COBRA, ACA and HIPPA.
  • Ability to speak/read/write in English. 
  • If hired, must be able to demonstrate that you are authorized to work in the US.

Preferred

  • Experience working in human resources department or in benefits related field.
  • Experience working with Workday or another HRIS.


Additional Information

Delegation: In absence, responsibilities delegated to Manager of Benefits.

Authorities: None

Supervisory Responsibility: This is not a supervisory position.

Work Environment: This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, telephones, photocopiers, facsimile machines and filing cabinets.
Physical Demands: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk or hear. This is largely a sedentary role; however, the employee is frequently required to stand; walk; climb up and down stairs; lift weight up to 25 lbs; use hands to handle or feel; and reach with hands and arms.
Security Clearance: All employees are required to pass the fingerprint-based criminal history records check (CHRC) per 49CFR1542.209 as well as a pre-employment drug screen.
