Responsibilities

Position Summary 
 
The Talent Systems Coordinator assists with Recruiting system administration, analytics, process improvement, troubleshooting, and projects related to the support of Talent Acquisition (TA).
 
Job Responsibilities 

System Administration and Support

  • Administer and provide technical support for the Applicant Tracking System (iCIMS) and other third-party talent systems and platforms.
  • Manage user access, permissions, and troubleshooting for both internal employees and external candidates, ensuring smooth and secure system operation.
  • Collaborate with the Manager of Talent Resources to configure system settings, implement updates, and maintain optimal functionality.
  • Continuously assess and enhance system integrations and workflows, proposing innovative improvements that align with organizational goals.
  • Responsible for the Company's Security and Safety Management System (SMS) and associated Safety Risk Management and Safety Assurance outputs.

Collaboration and Customer Support

  • Act as a key liaison between Talent Acquisition, HR teams, and external vendors to ensure efficient system usage and resolve issues.
  • Build and maintain strong relationships with internal stakeholders, understanding their needs and customizing solutions to improve system utilization.
  • Partner with external software vendors to evaluate new tools and services, ensuring that all platforms are optimized for user engagement and efficiency.

Training and System Adoption

  • Develop and deliver creative training programs for new users and system updates, promoting adoption and best practices across the organization.
  • Maintain up-to-date training materials, including user guides, checklists, and standard operating procedures (SOPs), ensuring all stakeholders are informed of system changes and enhancements.
  • Provide ongoing coaching and support to users, encouraging innovation in how the systems are utilized for talent acquisition and HR needs.

Data Analytics and AI Integration

  • Collaborate on designing dashboards, reports, and metrics that offer actionable insights into recruitment activities and system performance.
  • Explore and integrate AI tools to streamline recruiting processes, from candidate sourcing to data-driven decision-making.
  • Conduct trend analysis and identify key performance indicators (KPIs) to guide system improvements and support data-driven strategies.

Process Innovation and Continuous Improvement

  • Embrace change by identifying and implementing process improvements that enhance the efficiency of talent acquisition systems.
  • Drive creative solutions for system challenges, thinking beyond conventional approaches to deliver innovative HR technology solutions.
  • Lead projects that align talent system functionality with evolving business needs, ensuring readiness for future demands.

Position Specifics

Qualifications 
 
Required
  • High School diploma or equivalent
  • At least 2 years of recruiting and/or HR technology support or administration experience
  • Experience in understanding and implementing key TA tools and technologies
  • Experience in change management and training
  • Proficient in Microsoft Office Suite, intermediate in Applicant Tracking Systems
  • Ability to speak/read/write in English
  • If hired, must be able to demonstrate that you are authorized to work in the US
Preferred
  • Bachelor’s degree in Human Resources or related field
  • Experience with analytics
  • Project Management experience
  • Working knowledge of compliance and regulations related to employment/staffing.
Additional Information

Supervisory Responsibility: This is not a supervisory position.

Delegation: In absence, responsibilities delegated to Manager of Talent Resources.

Authorities: None

Work Environment: This job operates in a professional office environment.  This role routinely uses standard office equipment such as computers, telephones, photocopiers, facsimile machines and filing cabinets.
